Every club, its own closed account
What your people write, only your people see. There is no catalogue shared between clubs and no data crossing from one club to another: every request to the server is tied to your club, and the server rejects it if it tries to touch anything that is not yours.
Everyone sees what their role allows
SquadOffice has seven roles: director, scout, coach, analyst, physio, nutritionist and player. Permissions are not just buttons hidden on screen: the server checks on every request whether that person can see or change what they ask for.
- Transfers and scout calibration: director only.
- The physio sees who can play and who cannot, without diagnoses that are not theirs.
- Players see their own things: their videos, their calendar and what the club sends them.
- The public demo is read-only: nothing you change is saved.
Protected access
- Encrypted passwords: stored with a one-way algorithm. Nobody, including us, can read them.
- Lockout on failed attempts: after 8 wrong passwords the account is locked for 15 minutes, and there is a limit of attempts per connection.
- Sessions that expire after 30 days without use.
- Sign-up by link: everyone sets their own password from a link that expires. Nobody sends it by email.
- Encrypted connection (HTTPS) across the website and the app.
Where your data is
On a server in Barcelona (Spain), inside the European Union. The database is backed up every day and the last 14 backups are kept.
What leaves SquadOffice, and how
- Profile link: opens without an account, but without who wrote the reports or the contract, and expires after 14 days.
- Google Calendar and Meet: Google's permission is stored encrypted (AES-256). Gmail is not read: it only opens an email with the recipient filled in.
- WhatsApp and Telegram: the message is pre-written, but you always press send.
- Artificial intelligence: when someone uses an AI feature, only the text needed for that answer is sent to the model provider. SquadOffice provides the AI keys: the club does not have to give any.
Your data is yours
- Download an Excel copy of the whole club whenever you want: players, reports, lists, matches and missions.
- If you ever leave SquadOffice and ask us, we delete the whole club with everything in it.
- Under the GDPR, the club is the controller of its data and SquadOffice the processor, handling it only to provide the service. More in the privacy policy.
Questions
Can other clubs see my players or reports?
No. Every club has its own closed account and there is no shared catalogue. The server rejects any request that tries to touch another club's data.
Where is the data stored?
On a server in Barcelona (Spain), inside the European Union, with a daily database backup.
Can I take my data with me?
Yes. From the app you can download an Excel copy of the whole club anytime. And if you leave SquadOffice, we delete the whole club if you ask.
Does the AI see my club's data?
Only when someone uses an AI feature, and only the text needed for that answer, which is sent to the model provider to generate it.
